Privacy Policy

TKJ AI Systems (“TKJ AI Systems,” “we,” “us,” or “our”) builds agent-augmented operating systems for small businesses. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It also describes how we handle data accessed through Google APIs when you authorize one of our applications to act on your behalf.
This policy applies to tkjsystems.com(the “Site”), and to the agents, applications, and tools we operate under the TKJ AI Systems brand (collectively, the “Services”). It does not apply to third-party websites or services that we link to or integrate with.
1. Information we collect
1.1 Information you provide
- Contact information— name, email address, company, and any message you send when you reach out, request a demo, or apply to work with us.
- Account & authentication data— if you sign in to one of our Services, we receive your account identifier, name, email address, and profile image as provided by the identity provider you use (for example, Google).
- Engagement content— documents, data, files, prompts, and other content you or your organization submits to a Service so that our agents can complete the work you’ve asked for.
1.2 Information collected automatically
- Usage and device data— pages viewed, referring URL, approximate location derived from IP, browser type, operating system, and timestamps. We use this to keep the Site available and secure and to understand which content is useful.
- Logs— server, application, and agent logs that record requests, errors, and the actions our agents take so we can debug, audit, and improve the Services.
1.3 Information from third parties
When you connect a third-party account to a Service (for example, by signing in with Google), we receive the data that account provider returns based on the permissions (“scopes”) you grant. See § 3 for how we handle Google user data specifically.
2. How we use information
We use the information described above to:
- Operate, maintain, and improve the Site and the Services.
- Perform the work you have asked our agents to perform — including reading, analyzing, organizing, summarizing, and acting on the content you connect or upload.
- Authenticate you and protect your account.
- Communicate with you about the Services, respond to inquiries, and send operational messages (for example, security or transactional notices).
- Detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms.
- Comply with legal obligations and enforce our agreements.
We do not sell personal information. We do not use your content or Google user data to serve advertising, and we do not use it to train generalized machine-learning models that are offered to third parties.
3. Google user data — limited use disclosure
Some of our Services request access to your Google account data (for example, your Google profile, Gmail, Calendar, or Drive) through Google’s OAuth consent flow. When you authorize one of those Services:
- We only request the scopes necessary to provide the feature you are using, and we describe each scope on the consent screen before you approve it.
- TKJ AI Systems’ use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- We use Google user data only to provide and improve the user-facing features that you authorized.
- We do not transfer Google user data to third parties except as necessary to provide or improve those user-facing features, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to you.
- We do not use Google user data for serving advertisements.
- We do not allow humans to read your Google user data unless we have your affirmative agreement for specific messages, it is necessary for security purposes (for example, investigating abuse), to comply with applicable law, or for our internal operations where the data has been aggregated and de-identified.
You can revoke our access to your Google account at any time at myaccount.google.com/permissions. Revoking access immediately stops new data from flowing into our Services; we will delete cached Google user data on request as described in § 7.
4. How we share information
We share information only as described below. We do not sell personal information.
- Service providers.Vendors that help us run the Services — for example, hosting, error monitoring, email delivery, payment processing, and analytics. They process data on our behalf under written agreements and are not permitted to use it for their own purposes.
- AI model providers. To produce agent outputs, we send the minimum necessary content to language-model providers (for example, Anthropic, OpenAI) under their enterprise terms, which prohibit using customer content to train their public models.
- Your organization. If you use a Service through an employer or organization that owns the workspace, your administrators may have access to your activity and the content you submit.
- Legal and safety. We may disclose information if required by law, subpoena, or other legal process, or where we believe disclosure is reasonably necessary to protect the rights, property, or safety of TKJ AI Systems, our customers, or others.
- Business transfers. In connection with a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
- With your consent. For any other purpose disclosed to you with your consent.
5. Cookies and similar technologies
The Site uses a small number of strictly necessary cookies and similar technologies to keep you signed in, remember preferences, and measure aggregate traffic. We do not use cookies to build cross-site advertising profiles. You can block or delete cookies in your browser settings; some features of the Site may not work as a result.
6. Security
We use administrative, technical, and physical safeguards designed to protect the information we hold. These include encryption in transit, restricted access, scoped credentials, audit logging, and least-privilege access controls for our agents. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Data retention and deletion
We retain information for as long as is needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. You can request deletion of your personal information and any cached Google user data by emailing privacy@tkjsystems.com. We will respond to verified requests within a reasonable time and in any case as required by applicable law.
8. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to object to or restrict certain processing. You can exercise these rights by emailing privacy@tkjsystems.com. We will not discriminate against you for exercising any of these rights.
For California residents: we do not “sell” or “share” personal information as those terms are defined under the CCPA/CPRA. You may still exercise the access and deletion rights described above.
9. Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. International users
TKJ AI Systems is based in the United States. If you access the Services from outside the United States, your information will be transferred to and processed in the United States, which may have different data-protection laws than your country.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the “Effective” date above and, where appropriate, provide additional notice (for example, on the Site or by email).
